Timberwood Cabin – Film & Photography Rental Guidelines

Welcome to Timberwood Cabin!

     We are excited to host your film and photography projects at our tranquil and picturesque retreat. To ensure a smooth experience, please review and adhere to the following rules and regulations for all commercial, film, scene shoots, and photography sessions.

Booking & Reservation

    • Timberwood Cabin is available for one-day reservations starting at 7:00 AM and ending at 10:00 PM.

    • Overnight stays are not included in one-day reservations or for any filming or photography sessions. If an overnight stay is desired, a separate overnight reservation must be obtained with an additional fee.

    • All bookings must be made in advance through Giggster or by direct inquiry via our website.

    • A signed rental agreement is required before confirmation.

    • A security deposit may be required depending on the nature and scale of the production.

    • Full payment must be received before the scheduled shoot.

    • A damage waiver is mandatory and must be purchased from Timberwood Cabin for one or more days of reservation. Inquire about the fee when booking.

    • A Good Neighbor Policy must be signed with a responsible party’s government-issued ID. The submission link on TimberwoodCabin.com must be completed prior to check-in.

    • To discuss the time, fees, and use, please consult with the Timberwood Cabin host to ensure and secure your vision to complete your desired outcome.

Permit Requirements

    • For production and filming, a permit must be obtained from the City of Big Bear Lake to ensure proper use and parking.

    • Permits must be secured by the renter prior to the scheduled shoot date.

    • Contact the City of Big Bear Lake at 909-866-5831 for permit applications and requirements.

    • Failure to obtain a required permit may result in cancellation or termination of the rental without a refund.

    • Large productions should inquire about city regulations and compliance before booking.

Usage & Restrictions

    • The entire house is available for use if needed, as per the rental agreement.

    • Furniture, decor, and appliances must be handled with care. Any modifications must be approved in writing.

    • No nails, screws, staples, or adhesives may be used on the walls, floors, or furniture.

    • No open flames, pyrotechnics, or hazardous materials are allowed without prior written approval.

    • Smoking and drug use are strictly prohibited anywhere on the property.

    • No excessive noise, loud music, or disruptive behavior that may disturb neighbors.

    • Renters are not allowed to manipulate the central air conditioning or heater Nest control.

Insurance & Liability

    • Productions must provide a valid certificate of insurance (COI) covering liability, property damage, and worker’s compensation.

    • Timberwood Cabin must be listed and covered by the insurance policy prior to reservation approval, with a minimum coverage requirement of $1,000,000.

    • The renter assumes full responsibility for any damage caused to the property during the rental period.

    • A copay of $300 must be paid if any damages occur.

    • If damages exceed $3,000, the damage waiver will be reviewed to determine coverage. If the waiver does not cover the full amount, the renter’s liability insurance will be responsible for paying the remaining balance in full.

    • Any spills or damages must be reported immediately to management, and a report must be filed immediately on TimberwoodCabin.com to be covered by the damage waiver. If not, the renter is 100% responsible for all damages and missing items. A claim will be filed to the insurance policy provided and also charged to the renter’s credit card.

    • Timberwood Cabin and its owners are not liable for any injuries, accidents, or lost/stolen items.

Crew & Talent Regulations

    • A detailed list of crew and talent names, along with the total count, must be provided prior to the shoot.

    • All crew members must be listed to be covered under the liability insurance for any acts that cause damage to the property.

    • The total number of cast and crew should not exceed the agreed-upon capacity.

    • Any additional personnel beyond the agreement must receive approval.

    • Children and pets are not allowed unless explicitly approved in advance.

Clean-Up & Restoration

  • The location must be restored to its original condition before departure.

  • All trash and waste must be taken to the designated trash locations in Big Bear Lake. No trash may be left behind at check-out, or a $100 charge will be applied to the renter’s credit card on file.

  • A cleaning fee will apply for every and each reservation for the amount of $250.00 USD and must be paid prior to check-in or access will be denied.

  • Every person making reservation and entering the property should encounter a very clean, organized and well kept place. We value our customers and our home. This is a requirement not an Expectation.

Parking & Access

    • Parking is available for up to 3 cars on-site. If more parking is needed, a permit from the City of Big Bear Lake must be obtained by the renter in advance.

    • For large productions, obtaining a parking permit is advisable. Contact the City of Big Bear Lake at 909-866-5831 for more information.

    • Parking for more than 3 cars is available within a few minutes walking distance at a lake parking area. Additionally, restaurants and other parking options are within a short walking distance. The property is located in a very desirable neighborhood with plenty of parking nearby.

    • Load-in and load-out times must be adhered to as scheduled.

    • No blocking of driveways, neighboring properties, or public roads.

Cancellations & Rescheduling

    • Cancellations made within 7 days of the scheduled booking will incur a cancellation fee.

    • Rescheduling requests must be made at least 72 hours in advance and are subject to availability and must be withing 2 weeks.

Additional Fees

    • Overtime fees apply for any time beyond the agreed rental period. All must adhere to the Rules and Regulations of the City of Big Bear Lake and the Good Neighbor Policy including the Permit conditions obtained from the City of Big Bear Lake.

    • Damage fees will be assessed for any broken or missing items. Damage Waiver must be purchased with every reservations. No Exceptions.

    • Any special accommodations or custom setups may incur additional charges. Please contact us to discuss. We are very accomodating.

By booking Timberwood Cabin for your film or photography project, you agree to abide by these guidelines. Failure to comply may result in additional fees, immediate termination of the rental, or forfeiture of the security deposit.
